一、商务英语电子邮件的格式常见的商务英语电子邮件包括以下五部分:
①写信人Email地址、收信人Email地址、抄送收信人Email地址、密送收信人Email地址。②标题。③称呼、开头、正文、结尾句。④礼貌结束语。⑤写信人全名、写信人职务及所属部门、地址、电话号码、传真等。
其中邮件主题应体现邮件主旨,要引人注目、意思明确,最好为名词或动名词短语;称呼礼貌得体,符合商务英语写作习惯,如不知对方姓名只知头衔,可用 Dear+Title作为称呼,如只知对方姓名不知性别,可用Dear+全名,如邮件为一封通函,则用DearAll作为邮件称呼;正文应结构清楚,便于阅读,如正文内容较长,可使用小标题、小段落,或利用星号、下划线及段落间空行等方式使邮件眉目清楚、一目了然。
二、商务英语电子邮件写作应遵循的五C原则
商务英语电子邮件的正文写作应该遵循五C原则,即Correctness、Conciseness、Complete、Clarity和Courtesy原则。
准确原则 由于商务英语电子邮件涉及的是商务活动双方的权利、义务关系,其准确性对商务治理与沟通至关重要。具体而言,不仅电子邮件的英语语法、标点符号和拼写要做到准确无误,电子邮件内容还要叙述准确,以免引起误会纠纷。
简洁原则 简洁原则是商务英语写作最重要的原则,指在不影响完整性和礼貌性的前提下,尽量使用简单句子和简短词语。一封拖沓冗长、措词复杂的电子邮件既浪费写的时间,也会给阅读者带来不必要的麻烦,故商务英语电子邮件应以简明扼要为第一要务。
在具体写作中,商务英语电子邮件呈现出的句法特征是句子结构简单明了,有大量省略句和不完整句。其词汇特征是用语简洁,语言简明扼要。电子邮件写作格式

完整原则
商务电子邮件内容应力求具体、明确、完整,提供读者所需要的信息,尤其像盘、询问贸易条件等需要回函的电子邮件,更需要清楚完整,因为只有包含具体信息的邮件,才能达到良好的沟通效果。邮件是否完整,可以用5W1H来检验,即who,when,where,what,why和how.清楚原则商务英语电子邮件的写作要做到层次清楚,用词准确。具体表现在:例1 We will deliver your goods soon.例2 中significant一词意为明显的、不小的,语义模糊,故可以用具体数字替换。例2中soon表示不久、很快,语义不明确,没有指出具体的供货时间,可改为具体的年月日。
礼貌原则商务英语电子邮件应遵循措词婉转、礼貌的原则。鉴于电子邮件直接影响到整个交易的成败,买卖双方应十分注重措辞方式,要婉转、礼貌,使对方轻易接受。在写作电子邮件时,可以通过使用虚拟语气、委婉语气等方法迂回地表达观点,提出要求。
例1 If it is not for the larger orders we receive from a numbero four regular customers,we could not have quoted for supplies even at that price.例2 I would appreciate it if you could give me your best quotations for 65,000 pieces.例1中虚拟语气和例2中委婉语气的使用,缓和了商务谈判的语气,既明确了自己的立场,又使对方的面子免于受损,语气自然诚恳,礼貌得体,很轻易为对方接受。
三、结语随着国际商务活动的不断扩展,商务英语电子邮件的重要性也日益明显。
同时,电子商务的普及,往往会让写忽视商务英语电子邮件应有的规范和格式,难免会出现这样或那样的问题。然而准确规范的英文邮件,不仅能反应写信人的英语及业务水平,还可以体现写信人为人处事的态度和风格,有助于建立良好的商务关系,最终对达成贸易起到重要的作用。因此,有必要熟悉商务英文电子邮件应有的规范和格式,遵循邮件的写作原则。

本学期到现在为止,郑云翔老师已经为我们讲过许多课题,其中涉及商务信函写作,商务应用文写作,商务文书写作等等,在课堂上更是现场实训邀请函的写作,商务合同的写作等,用实践行动让我们切实掌握知识,这几十次的写作锻炼,都是我们不可多得的财富。
一、从基础开始
第一节课的时候,老师讲的是相对比较基础的文书写作,简单明了地讲述了商务写作的重要性,并且为我们介绍了公文的格式,以及写作上需要注意的细节。因为我们没有这么课程的教材,老师在讲课的时候,大部分会用上一届文秘专业的学生写的比较好的文章作为辅助例子,帮助我们更好地理解课程。最后,老师布置了一个作业,要求我们写一篇:规划(可以是人生规划,也可以是大学规划)。通过这一篇相对比较简单的写作,我们正式开始学习《商务写作》这门课程。
二、严格要求 刻苦训练
第二节课开始,任务相对比较繁多,我印中象最深刻的是老师讲的关于求职信的写作。老师在授课过程中,很慎重地按照着PPT一步一步仔细地讲着,还叫我们集体朗读PPT上的段落文字,这突如其来的教学方式,让我觉得很想笑,感觉像是回到了小学时代,老师在黑板上板书,然后叫大家一起大声朗读。而现在我们都是大学生了,老师还这样叫照着‘黑板’朗读,这让我觉得很滑稽,但是慢慢地我发现,原来读一遍以后,对于文字的理解会更加深刻、明了,基本上每节课老师都会叫我们朗读PPT的内容,慢慢地大家也都习惯这样的方式,一边读一边加深理解。老师对于写作的要求很严格,要求我们必须认真地完成每一篇写作,也因为老师的严格要求,才真正地锻炼我们,提高了我们的写作能力,为我们毕业后的就业大号基础,做好准备。
老师常说,现在的企业最需要却也最缺乏的就是写作方面的人才,学好了商务上的写作,在今后的就业上,就比别人多了一层优势。老师常常以真实的例子激励我们学习这门课程,不厌其烦地告诉我们写作的重要性,甚至有的师兄师姐毕业后工作了,还懊悔着当初没有好好学习写作,现在又重新找老师帮忙、学习。
三、实践才是检验的标准
每一次老师布置的作业,大家写好交上去以后,老师都会选一些优秀的作品放在QQ空间上,或者是现场读给大家听,和大家分享这些优秀的作品,让大家一起借鉴、学习。
老师还在课堂上举办了‘招聘会’,模拟面试的场景,由老师担任面试官,各个班级派代表前去‘面试’,老师现场盘问了很多刁钻的问题,让面试的同学觉得尴尬非常,不知如何应对。通过对面试场景的模拟,有的同学在面试的时候,不敢和招聘者具体讨论酬劳方面的问题,老师说这是不可取的,要勇敢地和招聘者说明你的自身优势,自身价值以及自身对招聘单位的要求,面对和自己的专业不对口的岗位,我们要拒绝这样的岗位,要坚持选择从事与自己专业对口的工作。
除此之外,老师还在课堂上举行过模拟商务谈判,每个班里每5个人为一组,2个人作为招聘者,2个人作为应聘者,1个人作为谈判记录者。我是班里的第一小组,我们的任务是写普宁国际服装城聘请经管系学生的聘用合同,一开始甲方(普宁国际服装城)对乙方(经管系学生)进行面试,在面试过程中,小组里双方代表进行商务谈判,针对酬劳、工作时间、违约责任等问题进行深入讨论,最终双方达成协议,签订聘用合同。课堂上气氛十分活跃,全程都是我们自己在讨论,大家运用老师教的知识展开一番“唇枪舌战”,用实践验收学习成果,在老师的教导下,大家都获益良多。
四、学习经验总结
本学期的《商务写作》课程也接近尾声了,文书写作虽然比较枯燥、乏味,也相对比较难学,但是在学习的过程中也是有不少乐趣,老师讲课中与我们的互动十分多,也经常在课堂上开设实践活动,让我们更好地去运用文书写作。这门课程对我们今后的工作岗位是有极大的帮助的,学习了这几十种文书写作,无形之中我们已经拥有一笔巨大的财富。

[摘要]商务英语写作能力是对外贸易活动中一项非常重要的能力,走访企业和问卷调查表明用人单位对商务英语专业毕业生的写作能力满意度并不高。从校企合作模式角度来探讨如何更好地培养商务英语专业人才,以期为高校商务英语专业人才培养提供一定的借鉴意义。

随着中国与世界各国的经济贸易往来日趋频繁,企业需要大量既掌握国际贸易商务知识与技能,又具有扎实的语言基本功和跨文化交际与沟通能力的复合型英语人才。商务英语写作能力则成为国际贸易企业相互沟通、促进业务开展、顺利达成交易、建立友好合作关系等贸易活动的重要桥梁。作为国际电子商务有效沟通的重要途径之一,商务英语写作能力在国际贸易中起着非常重要作用。明确、清晰、积极、有人情味、有说服力电子商务邮件和沟通是有效的润滑剂,能够帮助克服文化障碍,是英语核心能力之一。因此,商务英语写作能力对外贸从业人员尤为重要。笔者以南京市100家中对外贸易企业作为研究对象,通过问卷调查和企业走访,发现目前的用人单位对新进人才的商务英语写作能力满意度并不高,本研究试图从校企合作视角探讨商务英语写作能力培养的有效模式。
一、现状及其问题
商务英语写作能力包括一般贸易信函、贸易流程信函、商务社交信函、公司内部信函、及求职任职信函。[1]89参考目前的本科及高职院校的商务英语专业人才培养方案以及一些学者的研究[2]34-41[3]30-34,问卷精选了与目前高校开设的商务英语课程内容相关度极高的8种商务写作知识与技能,下表是用人单位对这8种商务英语写作知识与技能满意度的评价。表1企业对毕业生“商务写作知识与技能”的满意度(单位%)表1表明用人单位对商务英语专业从业人员的商务英语写作知识与能力的总体满意度不高,除了收发英文电子邮件以外,其他7种技能满意率都较低。写商务英语报告满意率为19%,不满意率为16%,不满意率为6%;写英文会议纪要的不满意率为16%;写商务备忘录不满意率为11%,准备并参加英文展会的满意率为29%,不满意率为6%。商务英语专业的人才的实践能力较差,除了能完成简单的收发电子邮件,其它商务英语写作能力有待在实践中提高。商务英语写作能力的培养目标是培养具有真实商务语境下的写作能力的人才,研究表明目前现有的高校英语专业的商务英语写作教材普遍存在教材的材料和任务真实性不高[1]90[4]156-158,与实际工作需求脱节问题[5]24-28。任务的真实性创造的语境合乎二语习得者的情趣,是可能想象的,能鼓励二语习得者使用交际策略,激发自然交际的需要,有用英语进行思维的生活需要,使二语习得者意识有一定的困难,但是有意义、有能力完成的[4]158。让学生直接从事商务交际活动的实务训练,能够弥补课堂教学的不足,有效地调动学生利用各种资源收集与课堂教学相关信息和资料。学生收集资料的过程本身就是学习真实语料的过程,能帮助培养学生的能力。这种目标明确的活动更容易激发学生的积极性,增强学生真实语境下商务英语写作能力。因此,从企业角度探讨商务英语写作能力的培养有非常重要的现实意义。本研究从校企共建实习基地、校企共建专业课程、校企共建教师队伍等三个方面探讨商务英语写作人才培养模式。
二、基于外贸公司的培养模式途径
1.校企合作共建实习基地。目前大多数院校采取的“2+1+1”的教学模式,把基础语言知识、专业技能、综合素质的三种能力要求结合起来。2年校内基础课程,1年校内专业方向课程,1年企业实习实训,课程教学遵循语言习得和能力培养规律,开展校企合作。学校需要在1年的专业课程方面刻苦钻研,通过系统课程设计,有效实施以“商务模拟实训室”和“虚拟职场情境体验室”等虚拟情景模拟教学,给学生创设包括电子邮件往来,备忘录等公司内部信函,社交场合信函,商务报告写作,参展布展等外贸函电写作的真实语境。除了与外贸企业签定实习基地以外,学校还可以建立自己的外贸公司,学生在完成专业基础上及时到企业实习,直接参与外贸经营活动,把商务英语写作的理论学习和定岗实习实训很好地结合起来,在实践中模拟最适合市场需求的商务英语写作人才培养模式,把课堂教学和实践有机结合。这些校内外实训、实习的工学结合、工学交替的综合性实训基地,为教、学、做一体化教学模式的实施提供了平台,充分满足了学生专业实训和顶岗实习的需要。依靠校企合作,充分利用企业资源,学习者可以获得基本的实践技能,加深对商务活动体验和理解,增强商务英语写作能力需求的内涵建构。
2.校企合作共建专业课程。教材研究发现目前市场上商务英语写作教材研究严重滞后于国际贸易真实情景、教材内容重合率高、覆盖体裁内容较窄、任务缺乏真实性、立体化建设不足、练习设计总量不足、形式单一,商务英语写作教材编写者缺乏真实商务语境的实践工作经验等问题[1]87,因此建设符合真实商务语境的商务英语写作教材尤为重要。基于问卷调查和企业走访,在外贸实践中最常见贸易流程信函包括:询盘回盘、报盘还盘、下单及确认、合同及其条款细则、付款、包装及唛头、装运、申诉及理赔、催款、函货代、保险、各类单证等。最常见的公司内部信函信函涵盖了备忘录、招聘、便条、通告、通知、会议纪要、日程安排等;外贸公司常用的商务社交信函包含感谢信、邀请信、祝贺信、慰问信、道歉信等。通过校企合作,邀请行业精英参与商讨商务英语写作课程教学安排,按照工学结合校企合作要求对商务英语写作专业课程内容进行调整,以适应培养商务英语专业人才培养目标。另外,基于我校扎根于南京、服务南京的发展战略,编写符合市场需求的商务英语写作教材,通过企业调查收集各类真实商务语境下相关商务信函案例,把学生实践过程中的商务英语写作的案例直接带回编写入教材,在现有教材的基础上调整商务英语写作教材编写内容及其布局,编写适应外贸实践的商务英语写作教材;另一面可以根据企业实践需求开设会展英语写作,国际商务谈判,商务报告写作等课程,把校企合作模式应用到实处,培养适应国际贸易需求的商务英语写作人才。
3.校企合作共建教师队伍。调查表明我国商务英语专业教师普遍缺乏相关企业的实践工作经验[1]90,实践教学时环节显得有点力不从心。校企合作模式下,高等学校的商务英语专业需要从多种渠道来提升培养商务英语写作教师的专业技能,为学生提供最优质的商务英语写作能力提高的课程模式。通过市场调研了解外贸企业对商务英语写作人才需求,制定“双师”型商务英语写作教师培训规划,定期组织教师去实训基地接受专业技能培训,派遣商务英语写作教师和学生参加一年一度的广交会及各类型的外贸行业参会,从实践中掌握外贸函电写作专业技能,了解外贸岗位需求和商务英语专业发展的最新动态。可聘请外贸企业专家和成功公司经理等具有丰富的外贸知识和经验的专家定期到学校为商务英语写作专业教师进行实训知识培训,培养优秀的“双师”商务英语写作教师。此外,聘请外贸公司经理到高校里做兼职教师,讲授商务英语写作课程,或与校内教师共同教授商务英语写作课程的实践教学环节。校企同上一门课程,校内专任教师可以为企业老师准备相关教学常规资料,确实减轻企业兼职教师准备繁杂教学资料的压力,企业教师可以为专任教师提供企业一线经验,这样校企老师相互学习,从而提高教学效果。[6]95-97要大力引进会以英语授课、有多年商场经验的人士或者获得国外商科学位的教师。提倡教师的自我终身教育,这是切实提高我国商务英语师资整体素质、学科专业发展的必然要求。有目的、有组织、有计划地加强在职专业师资的培训和转型,改善教师的专业结构,适应专业教学需要。
三、结语
商务英语专业人才的培养必须紧密联系国际贸易市场需求,目前我国商务英语专业人才远不能适应经济社会发展的要求,商务英语教学不容乐观。究其根本原因是商务英语专业人才培养与市场需求脱节。因此,如何提高商务英语专业的教学,有效性地培养市场所需的语言基础扎实,知识面宽广、实践能力强的商务英语应用型人才是目前我国高校亟待解决的问题。商务英语写作能力是国际贸易从业人员的核心能力,校企合作模式依据所面向的企业能力要求对学生进行定向式的设计,使培养的人才达到企业需求。高校根据地方对外贸易企业的发展需求,结合学校自身办学条件和商务英语专业的具体实际,不断探索和创新合作教育的模式和方法,调整商务英语写作教学模式,在实践中最大限度的提高商务英语写作教学效果,探索适应地方外贸企业和市场需求的商务英语专业人才培养模式。
